The short version
- Pick one calendar where every booking lands
- Have your booking page check all your other calendars too
- Mark events Busy or Free on purpose
- Add buffers and minimum notice
- Send every booking link through one system
Why double bookings happen
Your work calendar knows about your meetings. Your personal calendar knows about the school pick-up. Your booking page only knows what it's been told to check - and that gap is where double bookings live.
Calendars that can't see each other
A client books your free Tuesday on your work calendar, unaware your personal calendar has you at the dentist.
Events marked Free
An event set to Free - including many all-day events - tells every scheduling tool you're available.
Links that don't talk
Two booking links from two different tools can each sell the same hour, because neither knows about the other.
Slow calendar feeds
Subscribed calendar links can take hours to refresh, so a meeting added this morning may not block anything yet.
Five fixes that stop double bookings
-
Pick one calendar where bookings land
Every booking should create an event on the same calendar - usually your work calendar. It becomes your source of truth: if it's not there, it isn't booked.
In Freeslot this is the page's destination calendar, and a page can't be published without one. Bookings land there instantly, so the next guest can't take the same slot.
-
Check every other calendar before offering a time
This is the fix that matters most. You have three options, from weakest to strongest:
- Share or overlay calendars. You can see everything, but your booking page still can't.
- Copy busy blocks across by hand. Works until the day you forget.
- Let your booking page read them all, live. Busy anywhere means unavailable everywhere.
Time Work Personal Client Booking page 9:00 Busy Free Free Hidden 10:00 Free Free Free Offered 11:00 Free Busy Free Hidden 1:00 Free Free Free Offered 2:00 Free Free Busy Hidden Busy on any calendar hides the slot. Clients only see 10:00 and 1:00. In Freeslot, connect your other Google, Outlook, or Zoho calendars and turn on Enable multi-calendar availability in your profile. Up to six calendars are checked every time someone opens your page. Professional

Mark events Busy or Free on purpose
Scheduling tools trust your calendar's busy/free setting. A reminder to "think about Q4 plans" marked Busy steals an hour; a flight marked Free gives it away. Check how each calendar treats them below.
-
Leave room between meetings
Technically not a double booking, but it feels like one when a call runs over into the next. Three settings help:
- Buffer - a gap between bookings for notes, travel, or a coffee. Starter
- Minimum notice - stops someone grabbing the slot that starts in ten minutes. Free pages use 2 hours.
- Booking window - how far ahead people can book, so nobody locks in a date before you've planned that month. Free pages use 30 days; paid plans go up to 120.
-
Send every booking link through one system
If your intro calls, client sessions, and workshops each use a different tool, each one is guessing. Keep them in one place and they protect each other.
In Freeslot, a booking on any of your pages blocks that time on all your other pages. Group sessions and series hold their time on your other pages even before anyone signs up. And if two people try to book the same slot at once, Freeslot checks again at the moment they confirm - the second person is asked to pick another time.
What counts as busy, by calendar
Each calendar handles busy and free a little differently. Here's what blocks your Freeslot availability:
| Calendar | Blocks your time | Doesn't block |
|---|---|---|
| Google Calendar | Events set to Busy, out of office | Events set to Free |
| Outlook & Microsoft 365 | Busy, Tentative, Out of office, Working elsewhere | Free, cancelled meetings |
| Zoho Calendar | Every event, even ones marked free | Deleted events |
All-day events: new ones are often created as Free. If a holiday or conference should block your day, open the event and set it to Busy or Out of office.
Test your setup in five minutes
-
Block a time on your personal calendar. Add a one-hour event marked Busy tomorrow.
-
Open your link in a private window. That hour should be gone.
-
Switch the event to Free. Refresh - on Google or Outlook, the slot comes back.
-
Book yourself on one page. Check the same time has disappeared from your other pages.
Still getting double booked?
- The event is on a calendar you haven't connected
- Your booking page can't avoid what it can't see. Connect that calendar, or move the event to one that's connected.
- The event is marked Free
- Common with all-day events and invites you accepted from someone else. Set it to Busy.
- A calendar needs reconnecting
- Changed your password or revoked access? Freeslot flags calendars that need reconnecting - reconnect so busy times are read again.
- Bookings arrive outside your booking page
- A phone booking or an email "yes" only blocks time once it's on a calendar. Add it straight away.
- The page is in the wrong time zone
- Your hours are read in the page's time zone. If you moved, update it so 9 to 5 means your 9 to 5.
Double booking FAQ
How do I stop double bookings across multiple calendars?
Choose one calendar where bookings land, and have your booking page check every other calendar live before it offers a time. In Freeslot, Professional checks up to six Google, Outlook, and Zoho calendars together.
Why does my booking page show times when I'm busy?
Usually the event is marked Free, it's on a calendar the booking page doesn't check, or the calendar connection needs reconnecting.
Does sharing my calendar prevent double bookings?
Not on its own. Sharing lets you or your assistant see both calendars, but a booking page only avoids times on the calendars it actually checks.
Can two people book the same slot at the same time?
Not on Freeslot. The time is checked again the moment a guest confirms, and if someone else got there first, the second guest is asked to pick another time.
Do all-day events block my availability?
It depends on how they're marked. New all-day events are often set to Free, so they won't block until you change them to Busy or Out of office. Zoho Calendar is the exception: every Zoho event blocks your time.
